Who Really Owns Your Website? The Digital Assets Every Business Should Control

You paid for your website, so you own it—right? Unfortunately, the answer is not always that simple.

A business website depends on several separate accounts, files, and services. If these assets were registered by a former employee, freelance developer, or marketing company, the business owner may not have the access needed to manage them. The problem often remains hidden until the company wants to redesign its website, change providers, update important information, or recover from a technical emergency.

Understanding your digital assets—and confirming that your business controls them—can prevent costly delays and disputes.

Your Domain Name Is a Valuable Business Asset

Your domain name is the address customers use to find your business online. It should be registered in the company’s name, with the business owner or another authorized decision-maker listed as the account holder.

A developer may help register or renew the domain, but the business should retain access to the registrar account. Make sure the account contains a current company email address, accurate contact information, and a payment method that will not suddenly expire.

Losing control of a domain can interrupt your website and email service. In severe cases, a business may be forced to negotiate for an asset that should have been under its control all along.

Website Hosting and Files Require Separate Access

The domain and website hosting are not the same thing. The domain directs visitors to the site, while the hosting account stores the website’s files and databases.

Your business should know where the website is hosted and who has administrative access. It should also have a way to obtain a recent backup. Reliable website hosting and email management helps protect the availability and performance of these essential systems.

For a custom or WordPress website, ownership should include access to the administrative dashboard, database, theme, plugins, images, written content, and custom programming created for the project.

Know Who Controls Your Marketing Accounts

Your company’s digital presence extends far beyond its website. Business owners should have appropriate access to:

  • Google Analytics and Search Console
  • Google Ads and social advertising accounts
  • Social media profiles
  • Email marketing platforms
  • Call-tracking systems
  • Review and directory profiles
  • Website forms and lead-management tools

These accounts contain valuable data and history. Starting over with new accounts can mean losing years of performance information, customer insights, reviews, audiences, and campaign records.

This does not mean every employee needs unrestricted access. Accounts should have clear ownership, carefully assigned user roles, and secure login practices.

What About Website Design, Content, and Custom Programming?

Before beginning a new website design and development project, ask what the final agreement includes. Confirm whether the business will own the completed design, written content, photography, graphics, source files, and custom code.

Licensed software is different from custom work. Some themes, plugins, fonts, photographs, and integration’s are used under licenses that cannot be transferred freely. A reputable provider should explain these limitations and identify which components require ongoing fees.

Create a Digital Asset Inventory

Keep a secure record of every important digital asset, including the provider, account owner, renewal date, authorized users, and recovery method. Do not store every password in an unprotected document. A reputable password manager can provide safer credential storage and controlled sharing.

Review this inventory at least once a year and whenever an employee or outside provider leaves. Regular website care and maintenance should also include dependable backups, software updates, and ongoing security monitoring.
